The Essential Travel Checklist for Recording Artists (International Invitations)

Fam, although this topic may appear simple or maybe even irrelevant, it is actually quite common for me to receive and make calls calls about it. Therefore, I have decided to make it easily accessible. Many of us in the industry have had negative experiences (some that we wish to forget) with being invited to travel. So I have discussed with some friends to share both important and basic points to keep in mind.


Firstly, it is crucial for all of us to establish a value system for ourselves and maintain integrity in our dealings with everyone. In other words be clear, have a planand a standard and stick to it. Not everyone is aware of what it takes to show up prepared and present, and often I find myself educating event promoters on that, even though I don't have to. This is when compensation costs makes sense to them.


Remember that you don't have to attend every event, and some things are more valuable than money. Understand what makes you comfortable and be alert to warning signs when it's time to cancel an appointment after you have said yes, make sure your agreement has an escape clause. Not everyone is naturally hospitable or skilled at hosting in kingdom and secular alike, but as you gain experience, you can guide those who are willing to learn (check out my event planning template). Before heading out for your next music international ministry appointment, here are some key considerations:



Know about the event


Ensure you gather all the necessary information about the event before you prayerfully say yes.

  • What kind of event is it and where will it be held? e.g. (It it a Concert, Church Service, Convention, Street event, community fund raiser, TV appearance etc) this will act as a guide as to questions to ask so your set is in alignment with theme, what to bring and what to wear.

  • Who is hosting, research them (reputation and safety is critical especially for ladies)

  • What does the package look like for hosting you e.g. accommodation, transportation, honorarium look like.

  • Is it in alignment with my message because outside of a booked event you must be intentional about networking and growing community. I have also discovered that that nopt every ministry is fit for every occasion. So know what you are called to do and to who you are called to minister.

  • Consider the weather, this was an advice I gave one of my siblings before he went on tour and he forgot and almost froze to death, thank goodness we had family in the area that came to the rescue.

Preparation on your side


  • Confirm all travel dates and arrangements

  • Pack all necessary equipment and medications

  • Choose your travel wear wisley, will discuss this more in my youtube vlog.

  • Ensure you have all performance attire and merchandise

  • Organize your travel documents and identification

  • Secure any necessary visas or work permits for international travel

  • Arrange for transportation to and from venues on both sides

  • Book accommodations for each stop on the tour

  • Plan for meals and snacks while on the road, mention any special dietary concerns to your host (Please don't be a diva about this)

  • Communicate with your family, team and band members about the tour schedule

  • Prepare a backup plan for any unexpected situations this includes having extra cash,

    quick access phone numbers, etc.




Documents and Identification

  • Passport and Visas: If you're traveling internationally, ensure your passport is valid for at least six months beyond your travel dates and check if you need any visas.

  • Driver's License: Handy for domestic travel and car rentals.

  • Travel Insurance: Important for covering any unexpected medical or travel-related issues. While I am NOT a fan of credit cards as a former banker I know that some come with insurance, make sure you understand how it works.

  • Itinerary and Tickets: Keep both digital and printed copies of your travel itinerary, flight, and event documents.

  • Music Permits : Ensure these are up to date. Let me know if you would like me to write more on this.


Personal Items

  • Clothing: Pack versatile clothing suitable for different weather conditions and occasions. Remember to include ministry performance outfits.

  • Toiletries: Keep a kit with essentials like toothbrush, toothpaste, shampoo, and other personal hygiene items.

  • Medications: Bring any necessary medications and a basic first-aid kit.

  • Snacks and Water Bottle: Staying hydrated and energized is crucial during long travel days.


Tech Gadgets


Smartphone and Charger and extensions: For communication, navigation, and staying connected. Make sure your device has converter options

  • Power Bank: To keep your devices charged on the go.

  • Tablet or e-Reader: For entertainment during travel.

  • Camera: To document your journey and create content for social media.


Business Essentials

  • Business Cards: Handy for networking and making new connections.

  • Contracts and Agreements: Keep any necessary documents for performances or studio time.

  • Notebook and Pen: For jotting down ideas, inspiration and notes.

  • Marketing Materials: CDs, USB drives with your music, and promotional materials.


Comfort Items

  • Neck Pillow and Blanket: To make long flights or bus rides more comfortable.

  • Earplugs and Eye Mask: Essential for getting rest in noisy or bright environments.

  • Comfortable Shoes: Important for days when you’ll be on your feet a lot.


Miscellaneous

  • Laundry Bag: To keep dirty clothes separate.

  • Reusable Shopping Bag: Handy for carrying extra items.

  • Sewing Kit: For quick repairs to clothing or gear.


Traveling as a recording artist can be both thrilling and challenging. Whether you're touring, heading to a recording studio in another city, or attending an industry event, having the right essentials can make your journey smoother and more productive.
